How to add drop-down lists in Excel

What you'll need: You will need a desktop or web version of Excel that supports Data Validation. That includes Microsoft 365 and modern standalone versions, such as Excel 2021 and later. I am working from the web version here, so if your menus look a little different, Microsoft's support guide can help fill in the gaps.

1. Select the cells where you want a drop-down

I've created an example spreadsheet to show how drop-downs work. In this example, column A holds client names, and column B stores their communication preferences. Highlight the cells in column B, since that is where the drop-down will live.

2. Select Data Validation in the menu

Open the Data tab in the Excel toolbar, then click Data Validation. This opens the Data Validation panel, where the Settings tab is selected by default.

3. Select List as your validation criteria

In the Settings tab of the Data Validation window, open the Allow menu and select List.

4. Enter the values for your drop-down

After selecting List, a Source field appears. Type your options separated by commas, with no spaces. For example:

Call,Email,Text,NA

This creates four choices in each drop-down: Call, Email, Text, or NA (short for Not Available).

5. Click Apply to create your drop-down

Click Apply to save your settings. Excel adds a small arrow to each selected cell. Click it to open the drop-down and choose a value, which fills the cell instantly.

6. Bonus: Add colors to your drop-downs

If you want to style your drop-down list to match a specific aesthetic, use Conditional Formatting. It lets you apply colors and formatting automatically based on the selected value.

  1. Create your drop-down list and select the cells with the drop-down.
  2. Go to Home, then Conditional Formatting, then New Rule.
  3. Under Highlight cells with, choose Specific text, then set the condition (for example, Containing) and enter the value.
  4. Choose a Format Style or click the plus (+) icon to create a custom color.
  5. Repeat these steps for each drop-down option you want to format.
  6. Click Done to apply the rules.

Can I follow these steps for Google Sheets?

Yes, mostly. Google Sheets supports drop-down lists, but the steps are slightly different.

Instead of Data > Data Validation, you use Data > Data validation > Add Rules, then choose Dropdown or Dropdown from a range. The idea is the same, but the menu labels and options are a little different. See Google's support guide for more help.

Can you edit a drop-down list after creating it?

Yes. Select the cells, return to Data, then Data Validation, and edit the values in the Source field.

Pro tip: For longer or frequently changing lists, place your options in a column on another sheet and reference that range in the Source field, such as =Sheet1!D1:D10.

Is there a limit to the number of items?

Excel does not set a practical item count limit, but the total character length of a typed list is capped at 32,767 characters. 

Want to create a yes/no drop-down?

Follow the same steps above and enter Yes,No in the Source field.

  1. Select the cells for the drop-down.
  2. Go to Data, then Data Validation or Validation.
  3. Choose List under Allow.
  4. Enter Yes,No in the Source field.
  5. Click OK to save.

Is a formula required to create drop-downs?

No. Drop-down lists rely on Data Validation, not formulas.

Are drop-downs the same as filters?

No. Filters live in column headers and control which rows are visible. Drop-down lists live in individual cells and control which values can be entered.

Can you use Copilot to create drop-downs?

As of 2026, Copilot in Excel can explain how to create drop-down lists and help generate source data, but it can't directly add Data Validation drop-downs through a prompt. You still need to use the Data Validation menu.
